Refund Policy
Effective Date: January 9, 2026 | Last Revised: January 9, 2026
This Refund Policy governs refund requests and payment-related matters for Cortexvia, operated by Shaik Afrid, trading as Cortexvia Technologies ("Company," "we," "us," or "our") subscription services. Due to the immediate costs incurred for computational infrastructure, GPU inference resources, storage allocation, and third-party service fees upon usage, we maintain a strict policy regarding refunds. This policy should be read in conjunction with our Terms of Service, Privacy Policy, Data Usage Policy, Security Policy, Cookie Policy, API Policy, Compliance Policy, and Developer Policy (collectively, the "Agreement"). By subscribing to any of our paid plans, you acknowledge that you have read, understood, and agree to be bound by this Refund Policy.
1. General Refund Policy
1.1. Non-Refundable Services. Cortexvia follows a strict no-refund policy for all subscription payments. All payments are final and non-refundable except in the limited circumstances described in Section 2. This policy reflects the immediate resource allocation and third-party costs incurred upon subscription activation. 1.2. Digital Service Nature. As a digital service, access to the Services is granted immediately upon payment confirmation. The immediate provision of services precludes the application of cooling-off periods applicable to physical goods in many jurisdictions. 1.3. Free Tier Availability. We offer a free tier that allows users to test and evaluate our Services before committing to a paid subscription. Users are strongly encouraged to fully evaluate the Services using the free tier to ensure suitability for their needs before purchasing. 1.4. Feature Transparency. All features, limitations, and pricing for each subscription tier are clearly described on our pricing page and available for review before purchase. By purchasing a subscription, you confirm that you have reviewed and understood the features included in your selected tier. 1.5. Renewal Non-Refundability. Manual renewals are subject to the same non-refundable terms as initial subscriptions. Users are responsible for renewing before expiry if they wish to continue the Services.
2. Limited Exceptions
2.1. Technical Billing Errors. Refunds may be considered only in cases of proven technical billing errors where the error is attributable to a system malfunction within our payment processing infrastructure. Such errors must be documented and verified. 2.2. Duplicate Charges. If you are charged multiple times for the same subscription period due to a technical error, a refund will be issued for the duplicate charges upon verification. 2.3. Incorrect Amount. If you are charged an incorrect amount due to a system error (not a pricing change or promotional expiration), a refund or credit for the difference may be issued upon verification. 2.4. Unauthorized Transactions. If your payment method was used without your authorization due to fraud or unauthorized account access not caused by your own negligence in protecting your credentials, we will work with you and your financial institution to resolve the matter. 2.5. Documentation Requirements. All exception requests require proper documentation and verification, including transaction IDs, bank statements, and a detailed explanation of the circumstances. We reserve the right to request additional documentation as needed to verify claims. 2.6. Timeframe for Requests. Refund requests for exceptions must be submitted within seven (7) days of the transaction date. Requests submitted after this period will not be considered regardless of the circumstances.
3. Non-Refundable Circumstances
3.1. Subscription Fees. Monthly and annual subscription fees are non-refundable under any circumstances other than the limited exceptions described in Section 2. This includes partial periods and unused time. 3.2. Tier Upgrade Payments. Payments made for upgrading to a higher subscription tier are non-refundable. The upgrade payment represents the difference in value between tiers for the remaining subscription period. 3.3. Unused Subscription Time. No refunds or credits are provided for unused subscription time, whether due to inactivity, reduced usage, or any other reason. 3.4. Feature Dissatisfaction. Dissatisfaction with features, functionality, or the quality of AI-generated responses does not qualify for a refund. Users should evaluate the Services using the free tier before purchasing. 3.5. Cancelled Subscriptions. Cancelled subscriptions are not eligible for prorated refunds. Upon cancellation, you retain access to paid features until the end of the current billing period. 3.6. Change of Mind. Refunds are not provided for change of mind, business decision changes, or failure to use the Services for any reason. 3.7. Policy Violation Termination. Accounts terminated due to violations of the Terms of Service, Acceptable Use Policy, or any other applicable policies are not eligible for refunds. Any remaining subscription time is forfeited upon termination for cause. 3.8. Downgrade Requests. Downgrading to a lower tier does not entitle users to a refund for the difference in tier pricing. The higher tier features remain available until the end of the current billing period.
4. Payment Processing Infrastructure
4.0. Currency and Pricing. Prices are set in US Dollars, or in the local currency of the countries where we publish a fixed local price. Where we display a price in another currency, that price is converted from the US Dollar price using exchange rates we refresh daily, and then rounded up to a whole amount so the price stays stable and readable. Because of this rounding and the daily refresh, a local price may differ slightly from a live currency conversion. The price shown to you at checkout is the price you are charged, in the currency shown, with no conversion fee added afterwards. Prices shown on our marketing and documentation pages are cached for performance and may briefly lag the current price, typically by no more than 5 percent, after an exchange rate or plan price update. The price shown on the checkout page is the authoritative price. If the two differ, the checkout price applies, and you can close the checkout without paying if you do not wish to proceed. We may update local prices when exchange rates change. 4.1. Payment Processor. We use Dodo Payments as our payment processor and merchant of record, and may add additional payment processing partners in the future. These third-party services handle all payment transactions, including credit card processing, UPI payments, net banking, and other payment methods. 4.2. Processor Independence. Payment processors operate as independent entities with their own terms of service, privacy policies, and dispute resolution procedures. While we trust our payment processing partners, Cortexvia does not control and is not responsible for their policies, procedures, security incidents, or any issues arising from their services. 4.3. Payment Data Handling. We store limited payment information such as email, name, and previously used payment method identifiers (such as UPI IDs) for user convenience. We do not store sensitive payment credentials such as full card numbers, CVV codes, OTPs, or bank account passwords. All sensitive payment data is handled exclusively by our payment processing partners. 4.4. Manual Renewal. Paid subscriptions do not currently auto-renew. Users must manually renew before expiry to continue paid access. If this policy changes, we will provide appropriate notice. 4.5. Payment Failure Resolution. Payment failures are handled according to the procedures of the relevant payment processor. We will assist users in resolving payment issues but cannot guarantee resolution timelines or outcomes, which depend on the payment processor and the user's financial institution.
5. Subscription Management
5.1. Upgrade Process. Users may move to higher-value paid plan actions through supported upgrade flows. 5.2. Downgrade Restrictions. During an active paid Subscription, downgrades to a lower tier or lower billing cycle are not supported. 5.3. Tier-Only Upgrades. If a User upgrades only the tier while keeping the same billing cycle, the existing validity window is preserved and the upgraded tier applies within that current window. 5.4. Billing-Cycle Upgrades. If a User upgrades to a higher billing cycle, the current validity window is extended from the existing expiry point and is not reset to the payment timestamp. 5.5. Billing-Time Variance Notice. Subscription-window calculations may use normalized billing-time computation in service operations. Because processor settlement timing, callback delivery, timezone conversion, and calendar-month length may differ, displayed validity timestamps can vary in edge cases by up to approximately seventy-four (74) hours. This variance does not create any additional refund entitlement by itself. 5.6. Subscription Expiration. If a subscription expires and the user does not renew, all premium features, API access, and chatbot functionality stop working immediately. Data is retained according to our Data Usage Policy, but active service functionality is suspended. 5.7. Annual Plans. Annual subscription plans are available and offer discounted pricing compared to monthly plans. Annual plans are subject to the same non-refundable terms as monthly plans.
6. Computational Resource Allocation
6.1. Immediate Resource Provisioning. Upon subscription activation, computational resources including processing capacity, storage allocation, and API rate limit quotas are immediately provisioned for your account. These resources incur costs from our infrastructure providers regardless of whether they are actively utilized. 6.2. Third-Party Infrastructure Costs. The Services rely on third-party infrastructure and service providers, including cloud computing platforms, specialized processing clusters, and machine learning inference endpoints. Costs are incurred with these providers upon resource allocation and cannot be recovered once provisioned. These third-party commitments are a fundamental reason for our non-refundable policy. 6.3. GPU and Inference Costs. AI inference operations utilize specialized GPU-accelerated computing resources provided by external computational service providers. These resources are billed based on usage and reservation, with costs incurred immediately upon service activation. The economics of these external computational arrangements necessitate our strict refund policy to maintain service viability.
7. Dispute Resolution
7.1. Reporting Issues. To report a payment issue or request consideration for a refund exception, email [email protected] within seven (7) days of the transaction. Include your registered email address, transaction ID, and a detailed description of the issue. 7.2. Documentation. Attach any supporting documentation, including bank statements, screenshots, or other evidence supporting your claim. Incomplete requests may be delayed or denied. 7.3. Review Process. Our billing team will review requests and respond within five (5) business days. Complex cases may require additional time for investigation. 7.4. Decision Finality. Decisions regarding refund exception requests are made at our sole discretion and are final. We reserve the right to deny requests that do not meet the criteria described in Section 2. 7.5. Fraudulent Claims. Fraudulent refund claims will be reported to appropriate law enforcement authorities, and the associated account will be permanently suspended without refund.
8. Taxes and Additional Fees
8.1. Tax Responsibility. All fees are exclusive of taxes, levies, or duties imposed by taxing authorities. Users are responsible for paying all applicable taxes, including GST, VAT, sales tax, or other taxes applicable in their jurisdiction. 8.2. Tax Display. Where required by law, applicable taxes will be displayed during the checkout process before payment confirmation. 8.3. Tax Refunds. In cases where a refund is issued under the limited exceptions, applicable taxes paid will also be refunded according to the relevant tax authority's requirements.
